Returns Basics & Definitions

Returns management is the process of handling returned items efficiently, from the customer's initial return request through inspection, restocking, exchange, or refund, ensuring both customer satisfaction and operational efficiency.

Return rate is calculated as: (Number of items returned / Number of items sold) × 100. The average ecommerce return rate is 20-30%, with fashion and footwear often exceeding 40%.

Reverse logistics covers the process of moving goods from the customer back to the seller or warehouse. It includes return shipping, inspection, restocking, recycling, or disposal of returned products.

Returns management is the customer-facing process (initiating returns, exchanges, refunds). Reverse logistics is the operational/supply chain side, physically moving, inspecting, and processing returned goods. Swap handles both within one platform.

An exchange is when a customer returns an item and receives a replacement—either the same product in a different size/colour, or a different product. Exchange-first returns flows help retain revenue, reduce refund rates, and improve customer experience. Swap Returns supports equal exchanges, upsell exchanges (collecting additional payment), and store credit options when an exchange isn’t the right fit.

Yes. Returns management is a core part of ecommerce operations directly affecting customer satisfaction, inventory accuracy, cash flow, and brand loyalty. A robust returns system like Swap treats returns not as a cost centre but as a revenue retention opportunity through exchanges, store credit, and data-driven product improvements.

A return management system is the software (and workflow) used to handle returns end-to-end: customers initiate a return, labels are generated, parcels are tracked, items are inspected/restocked, and the correct outcome is issued (refund, exchange, or store credit). Swap Returns is a returns management system designed to retain revenue through exchanges and store credit—not just process refunds.

In supply chain terms, returns management (reverse logistics) is how products move back from the customer to the right destination (warehouse, 3PL, consolidation hub), are inspected, and are then restocked, repaired, recycled, or written off. Modern returns platforms standardise and automate these steps so returns cost less to run and are easier to track.

Standard options for handling returns include: full cash refund, exchange for another item, store credit, and repair or replacement. Abandoning the return (i.e. refusing it without a resolution) is not a standard or customer-friendly option. Swap helps merchants manage all legitimate return outcomes through automated workflows, with exchange and store credit prioritised to protect margin.
